Special Collections

Archives, rare books, and manuscripts can be accessed on site by appointment. For general questions about Special Collections held at the Burke Library, email burkespecial@library.columbia.edu. More information and lists of our Special Collections are found at these links: 

Appointment is required: Please do not travel to Burke Special Collections until you have an appointment confirmed by Burke staff.

Appointments are available Monday-Thursday, 12-4pm. Requests must be submitted with at least 5 business days' notice.

 

To make an appointment and request special collections material, first create a Special Collections Research Account, then use that same portal to request appointments and materials. View the section below for step by step instructions. Upon your first visit, you will need to validate your account in person with government issued photo identification or Columbia ID.

Users may request 1 item or box per hour of appointment time. Requests must be submitted at least 5 business days in advance. (For example, items requested at 2pm on Monday can be available by 2pm the following Monday.)

To cancel or reschedule, or if you are late for your appointment, contact the Burke staff ASAP at burkespecial@library.columbia.edu. We reserve the right to cancel the remainder of your appointment if you are over 30 minutes late.

Appointments & Special Collections Account FAQ

 

Use the following instructions, depending on the type of materials, to request an appointment to view items in our collections:

For manuscripts and other items with individual CLIO catalog records:

  • Click “Request: Special Collections” on the right side of the catalog record. 

  • Log in to your Special Collections Research Account when prompted

  • Select an Appointment:

    • Click the "New Appointment" button at the bottom of the request form to bring up the Appointment Calendar

    • Double click on an available appointment (displayed in white) to bring up the scheduling window. Edit details if needed, then click "Schedule" to reserve your appointment.

      (If you have an existing appointment, select it from the dropdown menu)

  • Submit your request. If clicking "Submit Request" results in an error message, click "Save Request for Later" and email burkespecial@library.columbia.edu for assistance.

  • Wait for Library staff to contact you to confirm your appointment and request(s).

 

For archival collections with online finding aids:

  • Search CLIO to locate a link to the collection’s online finding aid. 

  • View the Container List for the collection and select specific boxes using the toggle boxes on the right. 

  • Press the Submit Request button highlighted in red at the top of the page. 

  • Log in to your Special Collections Research Account when prompted. Your requested items will appear in your Outstanding Requests list with the status Request Needs Appointment.

  • Link an appointment to each request by clicking Actions > Edit Request and selecting an appointment using the "New Appointment" button at the bottom, or from the dropdown list of any existing appointment.

  • Hit "Submit Request."
  • Wait for Library staff to contact you to confirm your appointment and request(s).

 

For archival collections with legacy PDF finding aids:

  • Search CLIO to locate a link to the collection’s PDF finding aid. 

  • Review the PDF finding aid and note the specific numbers for the boxes you wish to consult.

  • Go back to the CLIO record for the collection and click "Request: Special Collections" on the right side of the catalog record for the collection

  • Log in to your Special Collections Research Account when prompted

  • Add the Box Number to the request form (only one box number per form)

  • Select an Appointment:
    • Click the "New Appointment" button at the bottom of the request form to bring up the Appointment Calendar

    • Double click on an available appointment (displayed in white) to bring up the scheduling window. Edit details if needed, then click "Schedule" to reserve your appointment.

      (If you have an existing appointment, select it from the dropdown menu)

  • Submit your request. If clicking "Submit Request" results in an error message, click "Save Request for Later" and email burkespecial@library.columbia.edu for assistance.

  • Wait for Library staff to contact you to confirm your appointment and request(s).
  • To request additional boxes from the same collection:
    • Locate your first request in your Outstanding Requests list
    • Click Actions > Clone Request
    • Edit the Box Number in the form
    • Link the request with an Appointment
    • Submit your request

Policies and procedures for using Special Collections at the Burke Library:

  • Theft, destruction or mutilation of the special collections materials is a crime. 
  • Follow staff instructions on the handling of material.
  • Researchers can further prepare by viewing these videos on the care and handling of special collections materials.
  • Keep all special collections material flat and completely on the table, or on provided book cradles, and clear of personal belongings. (For example, do not place your notebook on top of an archives folder.)
  • Maintain the original order of any unbound material.
  • Pencils, laptops, and tablets may be used for note taking. Not allowed are: pens, highlighters, markers, or post-it notes.
  • The use of a digital camera without flash is permitted for private research purposes. Please do not take photos of other researchers.
  • Silence cell phones and similar electronic devices. Please be quiet and considerate of other researchers.
  • All coats, hats, briefcases, bags, backpacks, and purses are required to be stored in a designated secure private area outside the Reading Room.
  • No food, drink, or gum is allowed in the Reading Room.

Digitization and copying services can be requested through the Preservation & Digital Conversion Division.
